The job card, now visible to everyone.

ShapedOps tracks every order in your plant from enquiry to payment. Each stage issues the right document on your letterhead and tells your buyer on WhatsApp — so the office, the floor and the customer all see the same status.

01On the shop floor

How orders are tracked today, and with ShapedOps

The job card knows where the order is. The register knows the quantity. Excel knows the rate. The buyer knows nothing — so they call.

When…TodayWith ShapedOps
A buyer asks where the order is Someone calls the floor, then calls the buyer back. They open their tracking link: stage, documents, invoice.
You quote a rate Typed into Word, saved as quote_final_2.docx. Move the order to Quote sent — the quotation PDF is generated on your letterhead.
The PO comes in Sits in someone's inbox, maybe printed. Recorded against the order; the agreement is generated and the buyer is updated.
Material is dispatched Confirmed in a WhatsApp group of fourteen people. QC & dispatch is a stage. Moving it sends the buyer a WhatsApp update.
A payment is late Someone remembers — or doesn't. Invoice with a pay-online link, and reminders at 30, 60 and 90 days overdue.
It's month-end The numbers are rebuilt from the register. Pipeline value, closed revenue and conversion, already calculated from the orders.
02The manufacturing template

Seven stages, from enquiry to paid.

This is where setup starts. We rename stages to match your plant, choose which ones issue documents, and decide what your buyer hears at each step.

  1. 01

    Enquiry

A buyer asks for a rate. It's logged with an owner — or imported with the rest of your Excel sheet.

  2. 02

    Quote sent

The quotation is generated with your letterhead, items, taxes and terms.

  3. 03

    PO received

The buyer's PO is recorded against the order and the agreement is generated.

    Agreement PDF
  4. 04

    In production

The order is on the floor. Sales, accounts and the owner see the same status without asking.

  5. 05

    QC & dispatch

Checked and on its way. The buyer hears about it before they think to call.

  6. 06

    Invoiced

The invoice goes out with a pay-online link, and overdue reminders are scheduled.

  7. 07

    Payment collected

The receipt is issued and the order closes — and it counts toward this month's revenue.

05Questions

What manufacturers ask us.

Can ShapedOps track heat numbers, material grades or drawing revisions?
Yes. During setup we add custom fields for whatever your shop tracks — heat number, grade, drawing revision, pattern number, transporter — and they sit on the order record next to quantity, rate and stage.
Which documents does ShapedOps generate?
Quotations, agreements, invoices, payment receipts and completion certificates, on your letterhead, each at the stage you choose. Dispatch is tracked as a stage on the order: when it moves, your buyer gets a WhatsApp update.
Do we have to replace our accounting software?
No. ShapedOps isn't an accounting package. It tracks the order from enquiry to payment collection and issues the client-facing documents; your books can stay where they are, and owners can export data at any time.
We run orders on Excel, a register and WhatsApp groups. Can we still start?
Yes — that's where most manufacturers start. We import the sheets you already keep, flag possible duplicates before anything is saved, and set the stages up around how your orders move today.
Can our buyers check order status themselves?
Yes. Every order has a tracking link that opens in any browser, with the current stage, documents to download and invoices to pay. No app and no login.
Do you work with manufacturers outside India?
Yes. ShapedOps is built in Ahmedabad, India, and works for manufacturing and trading businesses anywhere in the world — setup, training and support all happen online.
